Dragon*Con Colony Sweep coordinators: Sean Maio, Tony Bassi

Marines, here's the SITREP: This thread is for all feedback, questions, and concerns regarding Colony Sweep planning. In order to keep us from cluttering up other threads (the 2013 Pics and Video thread especially), please use this thread and this thread only for discussing centering around the Dragon*Con Colony Sweep. I will update this first post periodically to keep us on the same page. :delta:

As we all know, the crowds are making it harder every year to organize and run the Sweep. It is absolutely critical for that reason that everyone involved be familiar with - and follow - the plan. "Squad Leaders" especially need to be involved in the planning process and dry run; we've had to adapt the plan on the fly before due to crowds, and I won't be surprised if we have to again.

On that note, I have added a poll to the thread. I want to know how many people might be interested in the idea of running the Sweep as more of a moving photo shoot rather than a live re-enactment. This would make it easier to control, easier to adapt to the crowds, and lead to some really awesome photos, not to mention probably draw a bigger audience. The downside would be losing some of the "living the movie" feel, and the possibility for some hurry up and wait factor. With Dragon*Con attendance rising every year, we're going to have to adapt to the crowds one way or the other, and I think there are valid arguments to be made for either option. I want to know what the consensus is.

Dragon*Con Colony Sweep Rules and Regulations
Alright, people, listen up! The Colony Sweep is a big deal, Marines, a big damn deal, so in order to keep everyone on the same page, we're gonna be implementing some new rules. Don't like it? Too bad. :twisted: We kept it niiiiice and simple, so even you Grunts can keep up!

RULE #1: All costumes and props used in the Colony Sweep must pass the "Plausibility Test". No, we are not saying everything must be "screen accurate"; EU material is welcome, but costumes and gear should at least be plausible in-universe. We're re-enacting a franchise, people, and we draw a big audience every year... so if it breaks the "4th Wall," do us a favor and leave it on the ship. Note: this does not apply to armor graffiti, or other less-than-obvious details. Use your common sense, and if in doubt, ask.

RULE #2: Stay aware of your surroundings! I cannot stress this enough. It's going to be crowded. The audience we will draw will make it more so. There's going to be excited onlookers following us - "holy crap, it's ALIENS! Game over, man!" - and there's also going to be bystanders who have no idea why this crowd of G.I. Joes is suddenly in their way. Above all else, remember that the people going about their business in the hotel (con-goers or otherwise) have more right to be there than we do. Under no circumstances are you to be "That Guy".

If it comes down to a choice between stepping on someone's toes, or stepping out of character for a moment in order to avoid doing so, always choose the latter.

WATER BEARERS NEEDED. It occurs to me that WATER was sorely needed at the end of the sweep, and had to be retrieved from the Westin lobby bar. Even if you are not participating directly in the Sweep itself, please consider bringing water bottles, a CamelBak, etc. for those who will most definitely need it.

2016 SWEEP LOCATION: Westin Downtown Atlanta

2016 SWEEP TIME: Meetup at 3:30 PM EST, Saturday, at the North entrance of the Hyatt. Please be aware, this time is subject to change if a small delay would mean having another Xeno or two.

CURRENT ROUTE: Enter Westin lobby via Eastern curbside entrance, assemble in lobby for brief, sweep upper mezzanine levels, and regroup at lobby. Simple patrol, home in time for supper. Easy day.

I uploaded a new 2 minute video for my pulse rifle sound FX. The speakers are cheap but loud enough to do the job. Lightweight and compact. I hope this inspires others to give it a try.

Hey, I was supposed to be a xeno last year, as part of the Freeside marine build, but had to do a last minute bail out :( but this year I've rebuilt it just to participate in this year's events with everyone at Legacy. Do we have a 2016 sweep list yet? Thanks!

This year Ill be taking photos for the parade and sweep. Id say 95% of the photos I take on a regular basis are of airsoft players who are on the move as much as Marines would be during the sweep. Im confident that retaining the live action sweep would still allow us to get excellent shots while having the spectacle of the sweep in motion. We could still look at setting up some posed shots afterwards if there are some specific poses we want.

Ill also have 4 or 5 bottles of water in amongst my photography kit for those that need it.

Just to avoid confusion, the main reason the alternative idea is being proposed is because of the crowds, which are getting worse and worse every year.

Before my first Dragon*Con, the Sweep used to be in the Hyatt. That year, they moved it to the Marriott... and we had no problems whatsoever moving through the Mezzanine and Lobby levels, up and down stairs, etc. Nowadays, it's difficult to imagine the Marriott not packed elbow to elbow. We moved the Sweep to the Westin in order to avoid the now-notorious Marriott crowds, but it's getting to the point where even the Westin is getting difficult to run the Sweep in.

As I've mentioned in the OP, we're going to have to adapt in some way regardless of what is decided. At the very least, we're going to have to start enforcing rules for participation. The big finale last year did not go at all as planned, and got far too chaotic. That's something we can't afford in such crowded conditions - all it will take is one foul-up, a bystander bumped into or a group of flight attendants run over on their way to check in because we got carried away (that very nearly happened last year), and boom. No more Sweep.

I don't think that's something anyone wants ;) So, by all means, discuss. I'm also looking into the possibility of holding the Sweep in the Sheraton this year, which has the side benefit of being much closer to the fan table, so if anyone has any knowledge of what the crowds have been like there recently then please chime in!

Entirely up to you! The LED counter would be a great touch for all the cameras, but never feel obligated to sacrifice your comfort.

Well, yeah. The photoshoot-only idea would be more like what Rex led around the SunTrust building a few years ago, a series of posed scenes one after the other.

He was going to try to put the shots together into something like a comic, if I remember correctly.

The "live-action" is what we've been doing for the sweep every year.
