Partners are very welcome even if they are not signed up to the event. (Yes, they still have to pay the £25.50!) Unfortunately, due to alcohol licensing laws no one under the age of 18 can attend.

Thanks for adding me to the list Mr Caramac :-) I would have loved to go to the party as I worked there a few years ago and some of the staff I knew would probably still be there, but sadly current funds don't permit it.

FOLLOWING INFO FROM THE UKG INFO THREAD


Please find all the information for the event. Hopefully everything has been covered. If you have any questions that are not covered here, please post them in the event thread and I will try to answer them if I can.

PLEASE NOTE THIS EVENT IS IN HALLS 5 & 1 WHICH ARE ON THE PLAZA SIDE OF THE SITE RATHER THAN THE ATRIUM SIDE.

EVENT:

Main Event is in Hall 5
Changing Room is inside Hall 1. A suitable registration area will be found which you will be directed to on the day.

PARKING:

Car Park is in the EAST Car Parks 1-4. NEC are yet to decide whether passes will be provided. Last time we were allocated parking passes which were only required when you exited the car park. Therefore you will collect them if required from Elaine when you check in and not have to return to your car to put them in the window. I will post up as soon as I know if this will be the case again.

TIMES:

Sat: Arrive for 07:30 out for early bird queue at 08:30. Finish at 17:00.

Sun: Arrive for 08:30 out for early bird queue at 09:30. Finish at 17:00.

Please keep to the above times.

We really do need to be out at the times stated, to work the Early Bird queues. With regards to finishing times, it has been noticed that a lot of people tend to de-kit early, especially on the Sunday. We are scheduled to attend for the entire duration of the event. I know many people have very long journeys to make, but we need to remain professional and honour our agreements. We will also require help in dismantling and loading the Pod Racer and Tatooine Wall. Please let's not leave it to the same people each time.

If you are going to be late or are unable to attend please phone either myself on 07824 630469, Elaine on 07825 655044. It is important we have an accurate record of who is in attendance should an emergency situation arise.


ENTRY:

Everyone on the signup will be allocated an MCM pass (wristband) to gain entry to the event. This is one pass for the entire weekend. If you lose it cannot be re-issued and you will have to pay for subsequent days. They will need to be collected individually when you arrive. You cannot collect for someone else. Elaine will be in the Check-In area to hand these out.

You will collect your pass from Elaine at the beginning of the event. If you are attending both days you do not need to hand your pass in on the Saturday, however, you must checkin again on the Sunday morning so we know who is in attendance each day.

Thank you for your understanding and co-operation in this matter.

PLEASE NOTE. IF YOU (OR YOUR PARTNERS) NAME IS NOT ON THE SIGNUP YOU WILL NOT GET A PASS. YOU WILL NOT BE ALLOWED IN THE CHANGING AREA. YOU WILL HAVE TO PAY TO GAIN ENTRY TO THE EVENT AND WILL NOT BE ALLOWED IN UNTIL GENERAL (OR EARLY BIRD) ADMISSION TIMES.


CHILDREN \ FAMILIES:

Due to the changing room we have been allocated and the unprecedented number of members attending this event we will unfortunately not have any room in the changing room for anyone not on the signup. Only people with a named pass will be allowed in the actual changing room. If any family member attending wishes to enter the event they will have to purchase a ticket to gain entry.


HEALTH & SAFETY \ SECURITY BRIEFINGS:

First thing every morning we will be having a Health & Safety \ Security briefing. This will take place during kit up time and will be given by one of the MCM \ NEC team. Due to the size of the event and the number of public in attendance it is imperative that we all know what we should do and where we should meet up in an emergency should the need arise. Please make yourself available to listen to this. I know most of you have heard this numerous times but it is a requirement of the venue that everyone receives this information.


SECURITY:

MCM events are very busy and we do sometimes get members of the public trying to get into our changing area. Anyone seen in our changing area that is not recognised should be challenged. If you are not in UKG apparel or costume, do not be offended if another member asks who you are. There will be around 200 people attending each day and no-one will know everyone else. Whilst most people come on the boards on a daily basis, putting names to faces can be difficult. We don’t want a situation to arise where no-one knows a particular person but “assumes” that they should be there. Most of the public who come in are just being nosy or are lost, but we must be on our guard. We do not want any repeats of scenarios we have had in the past.
Due to the amount of people attending it is highly unlikely we will get a lockable area for storing kit overnight as there would just not be room. You are more than welcome to leave kit at your own risk in the changing area if you desire. (Please make sure all costumes etc are put out of view and locked in suitcases where possible.)

As with any event, lockable area or not, any kit left overnight is AT OWN RISK. If you have any doubts or concerns the key thing is to take it with you.


WEAPONS:

Everyone must act responsibly especially when carrying weapons. We must obey any orders given to us by MCM staff, NEC Security or the Police as the event progresses. Sometimes due to security threats or public stupidity, we have been asked not to take weapons outside the venue. We were still allowed them in the building and inside the event itself. This can change as the event progresses.

I will be liaising with MCM, NEC and the Police during the weekend. At present there are no other restrictions in place.


SQUADS:

Squads will be formed over the course of the day as people kit up and will be assigned relevant spotters. It gives people much more flexibility over the course of the weekend. (Especially those signed up with multiple costumes).
Whilst this gives greater flexibility we must be vigilant that we do not all go for lunch at the same time etc, leaving the event empty. This is also not an excuse for people to come in for 2 hour breaks. If the changing room becomes too busy, people will be asked to kit up and go back out.

Where we have specific single characters (Vader, Fett etc) I will get you guys together first thing so we can discuss the fairest way to get the weekend shared.


UKG TALK:

We will not be running a UKG stage talk at this event.


CLUB STANDS \ WALLS \ POD:

We will have UKG \ RI \ RL \ R2B \ MM \ UKCM & UKP tables at this event to promote the clubs. We will have members on manning these each day. These are a great promotional tool for each club and having characters around the tables is a great draw. We will also have the Pod Racer \ Tatooine Wall \ Tantive Wall & Wampa Cave for the public to have their photos taken with over the weekend.


DONATIONS BOX:

Ginny will be providing a box, which will be kept in the changing room, for anyone who wishes to bring any items that can be used as gifts when we visit ill children. What has been requested:

I am still looking for donations though, preferably Star Wars related but they don't have to be. To this end I am going to be bringing a donations box to MEMs & Expos in the future just in case any of you have anything you can donate. Needs to be new & unopened but only needs to be small. Things like books, sticker books, small Lego sets, figurines, etc, anything you can rustle up even if it's a freebie like an O2 Priority moment give-away.

PARADE:

At present the Parade is scheduled for 14:00. A suitable route will be found. The NEC are on board with this and will have Security in place help the parade route run smoothly. We will need lots of crew to help get characters in place for the photo and parade. We will also be having a presentation to GOSH which will be done after the parade during the photo.

Again TBC but the UKG Parade photo may be available each afternoon. The cost of these photos will be £2 each, which covers the cost of printing by MCM. Elaine will make an announcement once the proof is available.


REFRESHMENTS:

We have some refreshments kindly laid on by MCM to keep us going over the weekend. Water, crisps, biscuits, chocolate bars & Haribo will be available in the changing area.
